As a reminder, the University is updating our Time Information Management (TIM) system on Monday, April 15.

With this system update, the processes for entering time and approving timecards will remain the same as they are today, but employees should expect to see new features and functions once the upgrade is complete. Updated training materials and resources for employees and managers will be available once the new look goes live.

In advance of this system upgrade, employees should expect impacts to the current TIM system beginning the evening of April 9. Below are actions employees need to take to enter and validate their time and leave reporting after the update.

Biweekly Employees – Time Clock or Time Stamp, Times In/Out Captured in TIM

Biweekly employees who tap a time clock or use time stamp from a desktop or laptop:

  • Beginning April 8, keep a record of time in, time out and any time related details so that time worked can be entered, confirmed and validated once the system update is complete.
  • Continue to time clock or time stamp until 6 p.m. on Thursday, April 11.
    Time Stamp on the Computer

    • Access to the current TIM system for time stamps will stop the night of Thursday, April 11 at 6 p.m. Employees should be able to resume time stamps in the system Friday, April 12 by approximately 1 p.m. and will receive a message when time stamps can commence.
    • Communicate any times in/out you worked between Thursday, April 11 at 6 p.m. until Friday, April 12 at approximately 1 p.m. to your manager for them to enter on Monday April 15.
  • Tapping on Time Clocks

    • Time clocks will be impacted by a brief outage the night of Thursday, April 11 from 6 to 9 p.m.
    • Time clocks should be used again after 9 p.m. on Thursday, April 11.
    • Communicate any punches during this timeframe to your manager for them to enter on Monday, April 15.
  • On Monday April 15, use the record you’ve been keeping of time in, time out and any time related details to validate your timecard entries for the week of April 8 to ensure they are accurate. Work with your manager or TIM Administrator to make needed updates.

Biweekly Employees – Manual Time Entry

Biweekly employees who manually enter time and/or leave hours into the TIM system:

  • Access to the current TIM system will stop on Tuesday, April 9 at 6 p.m.
  • Employees should hold all times in/out and leave hours taken entries beginning Monday, April 8 and enter them in TIM after the system update is complete on April 15.

Monthly Employees

Employees who approve time on a monthly basis:

  • Access to the TIM system will stop on Tuesday, April 9 at 6 p.m.
  • Employees should hold any April leave hours taken and enter them in TIM after the update is complete on Monday, April 15.

All Permanent Employees

  • All leave earning employees should screenshot their accrual balances in TIM after signing off on either their March monthly or April 7 biweekly timecard and retain this record to validate their beginning accrual balances after the system update.
  • Work with your manager and TIM Administrator if you have any questions or if you do not see the correct balance reflected after the system update.

TIM Administrators

  • B20 biweekly and March monthly timecards must be signed off and finalized by Tuesday, April 9 at 5 p.m.
