The BuyCarolina (Coupa) system has a planned maintenance release scheduled for Friday, Feb. 2, 2023.

To streamline the process of amending approved Independent Contractor agreements, we are now utilizing ConnectCarolina instead of emailing documents to accounts payable staff, as was done previously.

Effective Feb. 1, 2023, the following changes will be implemented regarding purchasing airfare for University travel. Booking airfare outside of the University travel program will be permissible under the following circumstances: the fare is not available for purchase through the University travel program; significant cost savings are demonstrated; or employee has an unused ticket. Airfare Class upgrades are allowable on non-stop flights that exceed 8 hours in duration.

Effective Jan. 9, 2023, several updates have been made in Concur Travel to the booking process for hotels to improve the user experience. The Hotel per diem locations page has been removed and so have the government hotel rates from hotel search results.

Effective Jan. 1, 2023, the IRS has increased standard mileage to 65.5 cents per mile.

The University discontinued the use of the Expense Assistant by Trip option in Concur due to it causing additional workflow.

Please note that ARC3 and Airgas will have adjusted hours for the winter holiday break. Both agencies will be closed on Friday, Dec. 23 and Monday, Dec. 26 as well as Monday, Jan. 2, 2023, for New Year’s Day.

Cash and coin deposits will be processed separately from check deposits beginning next Monday, Dec. 12, 2022. Please alert all relevant staff members to this new requirement and see the updated Quick Reference Card for new instructions.

Please note that both Airgas and ARC3 will be closed on Thursday, November 24, and Friday, November 25 in observance of Thanksgiving holiday and will resume their regularly scheduled hours on Monday, November 28.
