NEW! April Month-End Close Deadline: Validated campus journal entries and data collect batches (journal imports) should be received by Accounting Services by close of business (5 p.m.) on Thursday, April 30. Please remember that accounting will not receive the journal entries until the journal has been budget checked valid and has passed through all required approvals (including OSR, if necessary).

NEW! Updated Office Hours, Accounts Payable, Travel Services, P-Card: Due to the COVID-19 crisis, effective Monday April 20, the Accounts Payable, Travel Services, and P-Card office hours will be reduced to 8:00 a.m. to 12:00 p.m. on Mondays, Wednesdays and Fridays only. P-Cards and checks can be picked up during those hours on those days.  Please note that these offices are closed on Tuesdays and Thursdays.  The offices are located at 104 Airport Drive, Suite 3500. The shortened schedule affects emergency check processing, also.  See the April 16 office hours memo for details.

NEW! Deactivation of Chartfield Accounts: The following chartfields have been deactivated due to lack of use, see the April 16 chartfield memo for details.

  • Account 568220 – Minority Presence Grad Grant
  • Account 568795 – Restrict Fund Res (Activated for Budget Transactions only)
  • Account 569135 – Scholarship-Travel
  • Account 569449 – Fellowship-Science/Engineering

NEW! New GL Chartfield Accounts for COVID-19 CDME: In light of recently updated Pandemic and Communicable Disease Emergency policy, the following new payroll accounts have been established keep track of CDME premium payments relating to COVID-19.

  • Account 511350 – EHRA Non-Teach CDME Onsite Premium
  • Account 512330 – SHRA CDME Onsite Premium
  • Account 514340 – Non-Student Temp CDME Onsite Premium
  • Account 514740 – Student Temp CDME Onsite Premium

NEW! Source Create Enhancement in ConnectCarolina: Accounting Services has been working with ITS to enhance the functionality of the ConnectCarolina Source Create module.  You may notice updated short description, long descriptions, source titles and the order of display.  A new attribute “BUS_UNIT_OWN” has also been added to provide organizational hierarchy and reflect the Business Unit which establishes and owns the chartfield source.

REMINDER! Defaults for Purchase Requests:  Anyone who creates purchase requests in ConnectCarolina can set defaults for their requests. Effective April 17, 2020, the default Chartfield string will no longer include Project ID fields.  This is to ensure Project IDs aren’t being used as a default. As an alternative, a speedchart can be used to create a requisition.  Information and screenshots for using speedcharts is included in theTips for Entering ePro Chartfield Strings reference card.
