REMINDER! October Month-End Close Deadline: Validated campus journal entries and data collect batches (journal imports) should be received by Accounting Services by close of business on (5 p.m.) Wednesday, October 31. Please remember that accounting will not receive the journal entries until the journal has been budget checked valid and has passed through all required approvals (including OSR, if necessary).

It is critical that journal imports with state funds are submitted on or before this date. Valid entries received past deadline, including valid entries pending departmental approval or with error status, will be deleted from the system.

Please note: accounting deadline for November month-end closing will be Thursday, November 29, at 5 p.m.

NEW! Opting Out of Paper W-2s for Calendar Year 2018.  Since calendar year 2015, the University has offered online W-2 distribution as a convenience.  Employees can now opt-out of receiving the paper W-2 (also known as consenting to receiving a W-2 form electronically) which helps save paper and reduce costs.  To find out more, read the October 16 memo.

NEW! New P-Card Clearing Account in Works P-Card Application. Upon the implementation of Works P-card application, a new P-card clearing account (559530) was created as a default account for P-card transactions when one of the following conditions is met:

  • Unclear MCC (Merchant Category) codes such as “other fees”
  • Purchases from vendors typically considered unallowable
  • No account or an invalid account is assigned at time of journal creation

Please make sure an appropriate account be assigned based on the purchased item when reconciling P-card transactions.  After a P-card transaction is posted to account 559530, a correcting campus journal should be made to move the charges from account 559530 to an appropriate account.

Users should utilize the Business Systems Help Desk when they are unsure who to contact for issue resolution. This is the fastest way to obtain assistance and allows the project team to be able to track issues to determine the scale of the impact to all users. Users can reach the Business Systems Help Desk at 919-962-HELP or via a remedy ticket submitted online at help.unc.edu (select ConnectCarolina > ConnectCarolina Finance > the appropriate area of concern).
