Subject: Communicable Disease Advanced Leave

If University administration believes that an employee has symptoms associated with a communicable disease, the University may require the employee not to report to work and to use available accrued paid time off, or available vacation, bonus, or sick leave. Should an employee not have sufficient leave available, the University may work with the employee to advance a reasonable amount of leave or make arrangements for the employee to make up the time within 24 months. CD Advanced

In TIM, a new pay code is being added, CD Advanced, and two new accruals are being added to the accruals tab, CD Advanced and CD Advanced Expired.

When a SPA Non-Exempt employee qualifies , the CD Advanced pay code and amount of hours of leave taken are entered in the employee’s timecard in TIM. This will ensure the CD Advanced hours are paid to the employee. The CD Advanced hours in the timecard will also go into the CD Advanced accrual and increase the accrual balance.

When a SPA or EPA Exempt employee qualifies, the CD Advanced pay code should be entered in the employee’s timecard in TIM, to ensure the CD Advanced hours go into the CD Advanced accrual and increase the accrual balance. Active SPA and EPA Exempt employees are set to Auto-Pay in the Payroll system.

Detailed instructions will be provided in the future regarding the payback of CD Advanced hours.

Please Note: CD Advanced cannot be used if the employee has available Sick leave and should not be used if the employee has available PTO, e.g. Comp Time, Holiday ETO, Flexible Furlough, On Call Time Off.
