SUBJECT: 2020 W-2s: Important Procedural Change

I am writing to inform you of a change on how paper W-2s will be distributed this coming January.

In prior years, active employees typically received their paper W-2 by manual distribution at their department or school. Due to adjusted work arrangements and the continued need to physically distance, 2020 paper W-2s will not be hand-distributed in January 2021.

Instead, all employees who are issued a 2020 paper W-2 will receive their document via U.S. Postal Service. The deadline to make address changes in the ConnectCarolina system is Sunday, Jan. 10, 2021. Paper W-2s will be mailed by Jan. 31, 2021 to the employee’s home address on file in ConnectCarolina as of Sunday, Jan. 10, 2021. If an employee’s address change occurs after this date in ConnectCarolina, it is recommended that they set up mail forwarding with the U.S. Postal Service to ensure rerouting of their paper W-2 to their new address. Employees who have concerns about their W-2 being mailed should opt out of a paper W-2.

Payroll Services recommends going paperless for your W-2. As a reminder, going paperless is the best contact-free and the most secure method of receiving this important tax document. Employees must consent to paperless W-2s no later than Sunday, Jan. 10, 2021 to avoid having a paper W-2 mailed to them.

The paperless option allows active and prior employees to download and print your own W-2 from any computer directly from ConnectCarolina. Employees can opt out of paper W-2s and confirm their current Opt Out status in ConnectCarolina Self-Service by following the instructions on this Job Aid.
