Ensuring Timely Payment Required Actions

Hire Effective Date

The effective date of the new hire or rehire action in ConnectCarolina is the first date of employment and the first date that the employee can have hours in their timecard in TIM.

  • To ensure timely payment, hours must not be entered in timecards before the employee’s Effective Date.

Required Action DUE Before Sign-off

Review recently hired employees’ timecards and remove hours entered before the employee’s Effective Date. These hours are not assigned to a position number and MUST be removed. If the effective date is incorrect, make sure it is corrected in ConnectCarolina and then enter REG ADJ historical edits in TIM in the next pay period.

Job End Date & Last Date Worked

It is very important that the Job End Date and Last Date Worked in ConnectCarolina are accurate. Please note that SPA Temporary and Student employees will be terminated in ConnectCarolina when the job End Date occurs. Their Last Date Worked will be one day before the Job End Date.

  • To ensure timely payment, hours must not be entered in timecards after the employee’s Last Date Worked. This includes termination payout entries.

Required Action DUE Before Sign-off

Review recently terminated employees’ timecards and remove hours entered after the employee’s Last Date Worked. These hours are not assigned to a position number and MUST be removed. You will need to submit a Payroll Exception Sheet to pay the terminated employee for hours worked after the Last Date Worked.

SPA Biweekly 23 (5/2 – 5/15) Sign Off by Payroll at 5 p.m.

The biweekly sign off deadline for TIM Administrators for Biweekly 23 (5/2 – 5/15) has not been changed.

  • SPA timecards must be signed off as usual by 5:00 p.m. on Tuesday, May 17th.
  • Sign off removal requests must be received by 4:00 p.m. that day.

However, the payroll close schedule for Payroll has been moved up for Biweekly 23.

  • To ensure Biweekly 23 is processed timely, Payroll will sign off all SPA timecards that have not been signed off at 5:00 p.m. on Tuesday, May 17.
  • No sign off removal requests will be processed after 4:00 p.m. that day.
