Reminder- Winter Break & New Year Holidays

Early Time Off Notifications or Leave Taken Entries

  • SPA Non-Exempt employees are paid only for the hours worked and leave taken entered in their timecards in TIM. Therefore, Permanent SPA Non-Exempt employees should submit Time Off Notifications if required or manually enter all of their planned leave taken during the Winter Break in advance. SPA Non-Exempt employees must record their times in and out worked at the start and end of each work period or on a daily basis for those that enter their times per audit requirements.
  • TIM Administrators use the ‘Pay Period Close’ Genie to determine when employee and manager approvals and sign offs have been applied to timecards. This genie also includes a column ‘Total TC Hrs,’ which lists how many total hours are in the timecard in that pay period. This may be used to identify employees that are missing hours in their timecards. Reminder- Holidays in Timecards

  • Holidays do not always appear in future pay periods. They will appear when the Holiday is in the current week. 2016 Holidays will not appear in TIM until January 3, 2016.
  • Holiday hours appear automatically in TIM for SPA employees with 50%, 75%, 80%, and 100% FTE. For SPA part time permanent employees whose FTE percentage is not equal to 50%, 75% or 80%, TIM Administrators must enter the Holiday pay code and the pro-rated amount of holiday hours on the holiday in the timecard.
  • If an employee is not eligible to receive holiday hours, insert a row on the day with the holiday and enter the “Holiday Forfeit” pay code and a negative amount of hours in the timecard.
  • Employees in an ‘On Leave’ status may appear as active in TIM. If an employee On Leave appears in your list in TIM, you must enter the “Holiday Forfeit” pay code and a negative amount of hours in the timecard to ensure the employee is not paid for the Holiday hours.
  • Hours worked on a Holiday will automatically appear as Regular or Overtime and are no longer assigned to the Holiday Pending Approval pay code. If the hours worked on the Holiday were required, the TIM Administrator or Manager will insert a row and enter the ‘Holiday Premium’ pay code and the amount of hours worked on the holiday.

SPA Biweekly 13 (12/14 – 12/27) Sign Off Deadline

The biweekly payroll close schedule for Biweekly 13 (12/14 – 12/27) has NOT been changed.

  • Biweekly 13 (12/14 – 12/27) must be signed off as usual by 5:00 p.m. on Tuesday, December 29.
  • Sign off removal requests must be received by 4:00 p.m. that day.
