University Closed, Condition 3 in Biweekly 16 (1/23/17 – 2/5/17)

University Closed, Condition 3 was in effect in Biweekly 16 from 1:00 p.m. on Friday, February 3 until 10:00 a.m. on Sunday, February 5.

Accounting for Missed Work during the University Closed, Condition 3

  • The ‘Adverse Weather Cond III Closed’ pay code and hours should be entered in employees’ timecards for work missed during the University closed timeframe, 1 p.m. on Friday, February 3 to 10 a.m. on Sunday, February 5.  Managers temporarily have access to this pay code in TIM.
  • Employees who were already out on approved leave during the University closure will record the approved leave taken hours in TIM.
  • Adverse Weather Cond III Closed hours cannot give an employee more hours than they would normally work in a week.  For example, if an employee normally works 40 hours a week and they already had 38 hours worked by 1 p.m. on Friday, only 2 hours of Adverse Weather Cond III Closed would be recorded in TIM, giving them 40 hours total for the week.
  • Other leave taken hours, like Vacation, will need to be entered if the Adverse Weather Cond III Closed hours do not get the employee to the total hours normally worked in a week.  Adverse Weather Cond III Closed hours can only be entered for missed work during the University closed timeframe, 1 p.m. on Friday, February 3 to 10 a.m. on Sunday, February 5.

SHRA Non-Exempt Mandatory employees that worked during the University Closed, Condition 3

  • Hours worked by a designated SHRA Non-Exempt mandatory employee during the University Closed, Condition 3 timeframe should be recorded in the timecard normally.
  • Then, select the ‘Adverse Weather III ETO ER Emp’ pay code and enter the amount of hours worked during the Condition 3 timeframe only (1 p.m. on Friday, February 3 to 10 a.m. on Sunday, February 5) in the timecard in TIM. This will ensure the mandatory non-exempt employee is granted Adverse Weather ETO hours in the accruals tab in TIM. This pay code will NOT pay the employee for hours worked. Managers temporarily have access to this pay code in TIM.
  • ‘Severe Weather Essential’ must be indicated on the SHRA Non-Exempt employee’s record in ConnectCarolina in order to receive Adverse Weather ETO hours in TIM.

Please refer to the HR Policy for more University Closed and Condition 3 information, http://hr.unc.edu/for-faculty-staff/adverse-weather/ and contact the HR department if you have any policy-related questions.  Please email mailto: timsupport@unc.eduwith TIM ‘how to’ questions.
