Employee Direct Deposit

What is E-Pay?
E-Pay refers to both the electronic direct deposit of pay and the electronic notification of pay. 

Electronic Deposit of Pay (Direct Deposit)
Effective with the first payroll in 2008, all employees – faculty, staff, temporary employees, and students who receive pay through Payroll Services – are subject to the Revised University E-Pay Policy and mandatory direct deposit.  Unlike the original policy of 1999, no one was grandfathered out of this policy.

Electronic Notification of Pay
Since 2004, employees enrolled in direct deposit of pay have been able to access pay notifications via the Payroll Services Web site .  Effective with the first payroll in April 2008, paper stubs were discontinued and employees accessed their pay notifications via the Web only.  Again, this is per the Revised University E-Pay Policy .

Advantages of Direct Deposit of Pay

For Employees

Direct deposit provides assurance that your pay will be in your bank account as of the bank opening on payday even if severe weather such as a hurricane or other circumstances prevent you from picking up your pay check. Employees on direct deposit do not have to make a bank deposit on payday and possibly wait in line. Direct deposit is secure, convenient, and fast; and with direct deposit there are no lost checks.

 

For the University

The University improves internal control by not handling negotiable checks and increases efficiency by not having to perform the check-signing process. Also, less expensive paper stock can be used for direct deposit notifications than for paychecks. University bank account reconciliations are simplified because there are no outstanding payroll checks that have not cleared the bank.

 

How To Enroll In Direct Deposit
Submit a completed Direct Payroll Deposit Authorization form (either PR-8A or PR-8B) to your HR Facilitator. The forms may be accessed from the Payroll Services Web site.  Faculty, post-docs, and EPA student employees (EPA rank codes 01-05 and 20-28) use the Direct Payroll Deposit Authorization (PR-8A) form.  A separate form is used to provide for departmental certification to assist with compliance with EEV requirements.  EPA non-faculty staff (EPA rank codes 06-19) and SPA permanent, temporary, student employees will use the Direct Payroll Deposit Authorization (PR-8B) form. 

After completing the appropriate form, employees should submit it to their HR Facilitator with a pre-printed bank or credit union voided check, which is needed to verify that the correct bank account number will be used.

How to Access to Pay Information
Employees enrolled in direct deposit can view details of earnings and deductions by accessing their pay notifications via the Web. The Web access provides a secured way to view or print your pay notifications not only for the current pay period but for each payroll period during the previous 12 months. Employees can access pay information from the Payroll Services Web site by selecting ‘Direct Deposit Pay Stub and using their Onyen and Onyen password. Training is available for those who would like assistance with the E-Pay process.

Current University Policy
Direct deposit of pay is available to all faculty and staff members, temporary employees, and students receiving pay through Payroll Services; however, the University requires all employees hired on or after July 1, 1999, to be paid by direct deposit into a bank or credit union account.

Revised University Direct Deposit Policy
Effective January 1, 2008, all employees shall use direct deposit of pay, regardless of employment date. Direct deposit notifications of pay are accessible via the web, and paper direct deposit notifications will be discontinued effective with the April 11, 2008 biweekly payroll.

Training
Training is available for all University employees on the following topics: E-Pay Access, Onyen Account Management and Checking Account Maintenance. Training sessions were offered in November and December 2007.

Banking Services
Direct deposit of pay is made into the bank or credit union account that the employee selects. As one alternative for employees, the University has agreements with both Wachovia and Bank of America to provide a package of banking services for all University employees. Services include a fee-free checking account for individuals to accept direct deposit of pay as well as other banking services. The NC State Employees Credit Union also provides a fee-free account for state employees.

A Share Account is the fee-free account offered by the NC State Employees Credit Union (NCSECU) for your direct deposit of pay. Information on the NCSECU can be found

  • by accessing the credit union's web site at http://www.ncsecu.org,
  • by visiting a local branch office, or
  • by calling one of the local branch offices.
